Our client is a founder/CEO of a very well-known hospitality organization. This role will be working with diversified investments in the hospitality sector. We are seeking a highly organized and experienced Executive Assistant/Personal Assistant to support the Founder/CEO in managing both professional and personal aspects of their life, with a strong focus on financial and accounting tasks.
The Executive Assistant/Personal Assistant will play a crucial role in ensuring the smooth operation of the Founder/CEO’s professional and personal affairs. This role requires a strong financial and accounting acumen, proficiency in QuickBooks, and the ability to handle various administrative tasks efficiently.
Responsibilities:
Personal Assistance (40%):
- This role will be hybrid at the home office until a professional office space is secured in Boca Raton, would need to be in person 2-3 times a week.
- This person will be responsible for any vendor management for the personal needs of the executive.
- Handle any personal travel and calendar management.
- Expense payment, credit card reconciliations
- Assisting with travel and needs of the executive’s family.
Executive Assistant Tasks (60%):
- Manage QuickBooks for both personal and business finances.
- Process and pay 15-20 monthly bills, ensuring accuracy and timeliness.
- Independently handle financial affairs related to restaurant companies, including P/L analysis, maintaining books and records, and writing checks.
- Oversee investments, including real estate investments, and understand K1s, 1099s, and other financial documents.
- Prepare necessary documents and hand them over to accountants at year-end.
- Provide proactive financial insights and recommendations to the CEO.
- Coordinate and manage the CEO’s extensive travel arrangements, including flights, accommodation, and itineraries.
- Efficiently manage the CEO’s complex calendar, scheduling meetings, appointments, and events.
- Screen, prioritize, and manage emails, phone calls, and correspondence on behalf of the CEO.
- Prepare and edit presentations, reports, and documents as needed.
- Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication.
- Maintain strict confidentiality and professionalism in handling sensitive information.
- Handle personal tasks and errands as required, allowing the CEO to focus on business priorities.

Qualifications:
- Bachelor’s degree in finance, accounting, business administration, or related field preferred.
- 3-5+ years as an Executive Assistant with similar responsibilities
- Strong financial and accounting acumen, with experience using QuickBooks.
- Previous experience in a similar role supporting high-level executives.
- Exceptional organizational and multitasking skills with meticulous attention to detail.
- Excellent communication and interpersonal abilities.
- Proven ability to handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite and calendar management tools.
- Flexibility to adapt to rapidly changing priorities and work independently.
- A proactive, problem-solving mindset with a can-do attitude.
