Job Description: Office Administrator

Job Responsibilities


Manage a multi-line phone system with a warm and helpful demeanor, ensuring calls are directed to the appropriate personnel.

Extend a cordial and professional welcome to visitors, guiding them to the right destination and promptly notifying the relevant employees of their arrival.

Uphold the cleanliness and professional appearance of our office spaces, including reception, kitchen areas, conference rooms, and supply closets.

Administrative Duties

Provide essential support for executive leadership members, including calendar management and assisting with general business needs as required.

Collaborate with the Operations team to facilitate data entry during periods of increased workload.

Undertake various assignments and projects that contribute to the efficiency of internal departments.

Ordering Supplies/Office Duties

Monitor the inventory of office supplies and promptly initiate supply orders when needed.

Receive and organize supply orders, ensuring the distribution of specialty items as required.

Ensure the smooth operation of printers and copy machines by maintaining toner, paper, and resolving paper jams whenever possible. Arrange for additional maintenance when necessary.

Efficiently coordinate all catering orders for office events and meetings as requested.


Regularly sort and distribute mail to the appropriate employees and/or departments, a minimum of two times per week.

Fulfill requests from internal staff to ship letters/packages promptly.


1-3 years of prior administrative, reception, and executive support experience.

Willingness to be present in our Florham Park, NJ office 2-3 times per week, with occasional travel to other office locations as required (subject to reevaluation based on corporate needs).

Exceptional verbal and written communication skills, along with outstanding interpersonal abilities.

Proficiency in using a multi-line phone system.

Proficient in Microsoft Office Suite.

Demonstrated capacity to multitask and maintain organization in a dynamic, fast-paced environment.
