Office Administrator

We are looking for an experienced Office Administrator who can provide administrative, operational and event support to the Public Engagement team.

  • Cvent experience is needed
  • Hybrid – Onsite days – Wed/Thursdays in the office

Responsibilities:

Administrative Support:

  • This position will maintain the Officers’ calendar, personnel requests, purchase requests and other work orders. Plan team events and supports public-facing events, including registration management in Cvent.
  • The position will utilize office automation skills to support the creation of various forms of communication and support.
  • Coordinates travel arrangements and submits expense reports for department management. Edits and distributes documents as necessary to support local, District or System meetings.
  • Maintains accurate department calendars.
  • Prepares confidential documentation for personnel actions and organizational communications.
  • Provides back-up support for other Executive Staff Assistants.
  • Supports the department officers and team by performing various activities or projects.
  • Works closely with Executive staff assistants throughout the District to coordinate events and meeting schedules.
  • Performs other duties as assigned.

Operational Support:

  • Processes and tracks purchase requisitions.
  • Responsible for maintaining the department’s supply inventory. Responsible for staff on-boarding and off-boarding.
  • Serves as the central point of contact for multi-departmental staff, managing schedules, activities, and events.
  • Collaborates and partners with group business lines and the Bank’s support areas.
  • Make recommendations for new procedures and implements them; make recommendations for improvement to existing processes.
  • General organizational management skills including work management.
  • Self-starter who demonstrates personal motivation and conviction.
  • Specialized skills required (PC operation, desktop publishing maintenance, budget procedures, internet search capabilities, Microsoft office, etc.).
  • Strong interpersonal skills with an ability to maintain solid working relationships.
  • Good, effective written and oral communication skills with a focus on providing good customer service.
  • Demonstrated problem solving and analytical skills.
  • Works on assignments that are moderately difficult, requiring limited judgment in resolving issues or in making recommendations.
  • Will have a limited role in decision making.
  • Normally receives little instruction on daily work.
  • General instructions on newly introduced assignments.
  • Responds appropriately to changes in the work environment and emerging opportunities.

Required Skills:

  • Bachelor’s Degree in a relevant field of work or equivalent work experience.
  • Education requirements – AA Degree.
  • 4+years of related experience. Extensive knowledge of the primary activities and functions within the organization supported; responsible for Branch, District or System level administrative projects.
  • Positions require some supervision; work is varied and may have some difficulty but position has limited responsibility and authority; work requires broad technical and business context.
  • Performs professional level work. Develops solutions to review with management; may be responsible for more complex work within a broader technical and/or business context. Knows and uses well the fundamental concepts, practices and procedures of a particular field of specialization.
  • Ability to communicate effectively with senior management.
  • Proven experience with complex business and technical analysis. Proven capability to quickly grasp new processes and technologies.
  • Proven performance in a highly inter-dependent team environment.
  • Proven performance working independently.
  • Verifiable references for satisfactory work performance.
  • Excellent verbal and written communications skills.
